Privacy Policy - Data Privacy Statement
This privacy notice discloses the privacy practices for www.counsellingvaslencia.org. This privacy notice applies solely to information collected by this website. It will notify you of the following:
  •     What personally identifiable information is collected from you through the website, how it is used and with whom it may be shared.
  •     What choices are available to you regarding the use of your data.
  •     The security procedures in place to protect the misuse of your information.
  •     How you can correct any inaccuracies in the information.
The Counseling Service complies with the General Data Protection Regulation 2016/679. The GDPR is a regulation in EU law on data protection and privacy for all individuals within the European Union and the European Economic Area. The GDPR requires us to obtain a client’s consent for records to be kept and so we ask you to sign this consent form. Basic information is recorded when clients schedule their first session. This information (email correspondence) is deleted after your first appointment.

Information Collection, Use and Sharing
We are the sole owners of the information collected on this site. We only have access to/collect information that you voluntarily give us via email or other direct contact from you. We will not sell or rent this information to anyone.

We will use your information to respond to you, regarding the reason you contacted us. We will not share your information with any third party outside of our team. To fulfill your session appointment requests we will share the information collected, online and during intake sessions, with the therapist you will work with for ongoing sessions. When clients are referred the information collected during the intake session by the intake coordinator will be shredded in line with insurance policies.

Confidentiality  and Record Keeping
 Confidentiality is an essential part of all counselling and psychotherapy. The Therapy Practice holds all records and personal contact details securely and will ensure confidentiality in the treatment of any information held about its clients, in line with the Code of Ethics of the BACP.  All information recorded and held is solely for the purpose of  maintaining effective therapeutic treatment.
 
What data do we hold and why?
We hold the contact data from your initial online appointment request and assessment sheets, on paper, so that we can contact you and, if necessary, refer you. We record information about what you tell us in our sessions depending on the protocol we are using.  Often, we record only brief hand written notes and these act as an 'aide memoire' so that we can review the course of your therapy as time progresses. We record the number of sessions you have and the payments you make for business purposes. We will discuss with you how you like to be contacted, and it is important that while you remain a client you notify us if any of these details change.

How is it stored?
Most session notes are held on paper and kept locked securely when not in use. Data held electronically is on a personal computer and stored locally in a password protected account.  Phone contact details are held on a password protected work phone.

We record appointments on paper in diaries, and data about the number of sessions and the payments you make electronically.  Your records are held for as long as is necessary for the purpose for which they were collected. Clients have the 'right to be forgotten'  however, and within a month of receiving a written request all their records will be erased.

Who is it shared with?
All information will be kept confidential unless the client and therapist agree to discuss something with a third party such as your GP. Where appropriate a consent form will be used. The only reasons for breaking confidentiality would be if the therapist considered that your life was at risk, if another person’s life was at risk or if the therapist was liable to civil or criminal court proceedings if the information was not disclosed. If at all possible this would be discussed beforehand. 

Your Access to and Control Over Information
You may opt out of any future contacts from us at any time. You can do the following at any time by contacting us via the email address or phone number given on our website:
  •   See what data we have about you, if any.
  •   Change/correct any data we have about you.
  •   Have us delete any data we have about you.
  •   Express any concern you have about our use of your data.

Security
We take precautions to protect your information. When you submit sensitive information via the website, your information is protected both online and offline.

Wherever we collect online information, that information is encrypted and transmitted to us in a secure way. You can verify this by looking for a lock icon in the address bar and looking for "https" at the beginning of the address of this website: https://www.counsellingvalencia.org/

While we use encryption to protect sensitive information transmitted online, we also protect your information offline. Only employees who need the information to perform a specific job (for example, billing or customer service) are granted access to personally identifiable information. The computers/servers in which we store personally identifiable information are kept in a secure environment.

Revocation, Changes, Corrections and Updates
The users are entitled to obtain information on any stored personal data relating to them upon request and free of charge. Furthermore, they have the right to correct, disable, and delete their personal data, unless there is legal obligation for it to be archived. In the course of our Offers’ further development, we will also update our data privacy statement continuously. Any changes will be announced on this page on a timely basis. For this reason, our users should visit this page from time to time, in order to be up-to-date regarding our data privacy statement.

 Anti-discrimination policy
Counselling Valencia is strongly committed to anti-discrimination. It values difference and diversity and does not discriminate on the grounds of age, gender and gender identity, sexual preference or orientation, marital/partnership status, religion, race, colour, national origin, disability, heritage or political belief.

Referrals
The associate Counselling Valencia therapists are fully qualified and self-employed as practitioners who are regulated by their respective member organisations.  Associate therapists will have their own individual terms and conditions.  For any referral that is made it is important to check on these contractual arrangements and to appraise yourself fully of all agreements and expectations between yourself and the associate therapist.  All associate practitioners operate independently and Counselling Valencia is not responsible for any issues that arise subsequent to an agreed referral.  Any concerns should be raised directly with the associate therapist or with their member organisation. It is strongly advised that if you are concerned about any aspect of your physical or psychological well being that you consult with your GP for an up to date evaluation of your health needs.

Cancellation and missed session policy
If for any reason you are unable to attend your appointment, please let us know as soon as possible. The required notice for cancellation is two days. Where there is less notice of cancellation, or if you do not attend without notice, you will be charged the full fee. With adequate advanced notice, where possible, you will be offered an alternative appointment.

Cookies
Cookies are small files that allow device-specific information to be stored on the user’s device (PC, smartphone, or the like). On the one hand, they serve users by increasing the usability of websites (e.g. by remembering log-in data), and on the other hand, they serve to gather statistical data about the website’s usage for analysis to improve the Offers.
